Office Manager



Endava is looking for a talented Office Manager to join our progressive and energetic team to support numerous office functions. Your responsibilities will include: accounts receivable, accounts payable, data entry, and receptionist. Microsoft Word, Excel, PowerPoint, Outlook and custom databases are the computer-based programs used for the position. Basic administrative responsibilities will also include faxing, filing, photocopying, managing incoming and outgoing mail, and creating letters, memos and proposals.

This position involves daily interaction with other office support positions, managers, service representatives/route drivers and customers. All work will be done in person or via phone and email.

Main Duties:

Maintain office efficiency by providing support in these areas (answering phones, vendors, office & equipment upkeep).

Book international/domestic travel as needed.

Promote team building through scheduling activities (Summer day out, holiday party,
annual awards events, monthly birthdays, etc).

Maintain general office asset inventory

Manage the AP/AR processes.

Track and monitor expense reports.

Train new hires on payroll forms and expenditure entry.

Coordinate meetings, manage reservations, and other ad hoc duties as assigned.

Assist HR in new employees' induction to company systems.

Maintain company forms.

Provide light support to the HR team as needed.

Request in-house legal teams to produce English language lease summaries.

Upload lease summaries, along with source documents (lease contracts), onto a lease administration platform (LAP).

Gather additional information (e.g. floor plans, photos) and store on LAP.

Maintain accuracy and completeness of information on LAP.

Run monthly reports and distribute. Alert colleagues to upcoming lease events/critical dates.

Be the point of contact with the LAP supplier. Become the Endava expert with the LAP; configure the platform, as far as is possible, to get the most out of it; champion its use; train colleagues.

Qualifications and Experience

Experience as an Office Assistant, Office Administrator or Administrative Assistant.
Experience supporting a team in an office environment.
Excellent written and communication skills.
Proficient technical skills including MS Office (Outlook, MS Word, Excel & PowerPoint)

Bachelor’s Degree from an accredited university
