Responsibilities

Office Manager is responsible for organizing and assisting the office daily activities in order to ensure that our facilities are fully operational with all utilities functioning properly.

o Collaborating with office owners and management for facilities’ needs.
o Resolving office-related issues in all four Endava locations (Wroclaw, Warsaw, Gdansk, Lodz)
o Fostering a professional, friendly and safety working environment;
o Support for starters & leavers (prepare documents, activate office cards, arrange welcome packages, walking tour of the office on their first day);
o Correspondence registration (envelopes / packages) and their shipment
o Raise PR for invoices, receipt of goods / services (by PO number in Oracle System);
o Administration and support of the desk-booking system
o Registering invoices in facilities' records and sending them for payment;
o Keeping in touch with the suppliers for the location (Renewal of supplier contracts, offers requests, orders creation, additional documents necessary for the procurement process);
o Meeting / event rooms protocol at the colleagues request;
o Provide general support to visitors (local transfers, accommodation, dinner etc.)
o Resources monitoring, to ensure compliance with the budget and quality indicators;
o Proper documents archiving.;
o Collaborate with the Accounting and Legal departments for supporting documents (annexes, estimates, etc.
o Collaborate with the HR, Finance, Communication and Procurement Team
